Archivist


The University of California, Irvine Libraries seeks a skilled, innovative, and knowledgeable professional for the position of Archivist in the Department of Special Collections & Archives.   

Responsibilities

The Archivist plays a leading role in the processing and management of all archival and manuscript collections, including appraisal, accessioning, preparation of processing plans, arrangement and description, and preservation of materials in all formats and collecting areas. 

Reporting to the Head of Special Collections & Archives and University Archivist, the Archivist works collaboratively within the department to set priorities and determine appropriate approaches to accessioning collections and preparing them for use. The Archivist develops and implements uniform arrangement and description standards and ensures that materials are efficiently and effectively processed.  The Archivist has responsibility for encoding finding aids using Encoded Archival Description (EAD) for contribution to the Online Archive of California.  The Archivist supervises processing assistants including paraprofessional archival processors and part-time students.  The Archivist serves on the Department's reference desk.  The successful candidate may also participate in instruction and outreach activities, digitization projects, preparation of exhibits, acquisition of manuscript and archival collections, donor relations, and grant proposals as appropriate.

Qualifications

Required:
  • A graduate degree in library science from an ALA-accredited institution, or a graduate degree in archival studies, or equivalent combination of education and experience.
  • Formal coursework or training in archival management and theory.
  • Two or more years of professional archival processing experience.
  • Understanding of and commitment to nationally-accepted standards, tools, and best practices for archival processing and description, including Describing Archives: a Content Standard.
  • Advanced skill in using the Archivist’s Toolkit and encoding finding aids using Encoded Archival Description.
  • In-depth knowledge of efficient processing procedures, such as those outlined in Greene and Meissner's "More Product, Less Process."
  • Ability to learn new technologies quickly and effectively.
  • Ability to successfully train and supervise the work of archival processing assistants.
  • Ability to provide effective reference service in an academic library.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work effectively in a team-based library organization within a culturally diverse academic community.


Preferred:
  • Experience providing reference service in a research or academic library.
  • Experience supervising archival processing assistants.
  • Experience working with electronic records.
  • Experience working with donors.
  • Familiarity with basic records management principles and current trends.
  • Familiarity with copyright issues relevant to archives.

Special Collections and Archives

Special Collections and Archives houses the UCI Libraries' collections of manuscripts and archives, rare books, and notable subject collections.  Archival collecting areas of particular strength and distinction include regional history (emphasizing Orange County and Southern California), the Southeast Asian Archive (documenting the post-1975 diaspora from Vietnam, Cambodia, and Laos), the Critical Theory Archive (including the papers of Jacques Derrida, Wolfgang Iser, Paul de Man, and others), the University Archives (documenting the UC Irvine campus), dance and the performing arts (including the papers of Robert Cohen and choreographers Donald McKayle and Eugene Loring), and distinguished UCI faculty (including Noble Laureates Frederick Reines and Sherwood Rowland).  The Department is also responsible for the curation of unique UCI digital scholarship.

The Libraries

The UCI Libraries are committed to innovation and excellence and are in a major period of change.  The Libraries consist of the Langson Library, the Ayala Science Library, the Library Gateway Study Center, and the Grunigen Medical Library.  These buildings contain over 3, 600 public seats for study and research and provide more than 600 public access computers.
 The UCI Libraries have a staff of approximately 150 FTE plus approximately 35 student assistant FTE.  The library collection consists of over 3.2 million volumes and over 78,000 journals and serial titles and an aggressively expanding electronic resources collection.  The UCI Libraries are a member of the:  Association of Research Libraries (ARL), California Digital Library (CDL), Coalition of Networked Information (CNI), Center for Research Libraries (CRL), Council on Library and Information Resources (CLIR), International Federation of Library Associations and Institutions (IFLA) and Scholarly Publishing & Academic Resources Coalition (SPARC).

Salary & Benefits:  Salary commensurate with qualifications and experience.  Preferred appointment level:  $46,164 - $56,496 (Assistant Librarian I - Associate Librarian IV).
Librarians are entitled to two days per month of annual leave, thirteen paid holidays, and one day per month sick leave.  The University has an excellent retirement system and offers a variety of group health, life, and disability insurance plans.  Benefits, which may also include an attractive mortgage program, are equal to approximately 40% of salary.

Archivist, William S. Cohen Papers

Raymond H. Fogler Library, University of Maine, Orono seeks an experienced archivist to organize, manage and promote the use of the William S. Cohen Papers, which consist of more than 1,000 linear feet of materials, in a variety of formats, documenting Cohen’s career as a congressman, senator, and Secretary of Defense.

Required: Masters Degree in Archival Science (MAS), ALA-accredited MLS, or a graduate degree in history or related discipline. Graduate-level coursework or training in archival administration. Archival processing experience and experience preparing exhibits and/or planning programs for a cultural heritage organization. Excellent oral and written communication skills. Ability to work independently as well as in a team environment. Finalists for this position must successfully complete a State Bureau of Investigation background check and a Credit Rating background check.

Preferred: Experience processing congressional papers or similar types of materials. Knowledge of twentieth century American political history. Experience with EAD and XML. Experience with donor relations and fund raising.

Raymond H. Fogler Library is the primary research library for the State of Maine. The University of Maine is the Land Grant University and Sea Grant College for the State of Maine. It is the flagship institution of the University of Maine System, offering bachelors, masters, and doctoral degrees. The University of Maine has approximately 11,300 students and 676 faculty. Fogler Library has a collection of more than 1 million volumes and a staff of 22 professionals and 40 support staff. The library uses the Innovative integrated system and has developed Mariner, a digital library. It is a Tri-State Regional Depository and a full patent and trademark depository.

This is a full-time position, with renewal contingent on outside funding and performance with a salary range of $39,900 to $66,500 and an excellent benefits package including TIAA-CREF.

Archivist, Digital Projects, & Outreach

York University Libraries invite applications for the position of Archivist with the Clara Thomas Archives & Special Collections. The successful candidate will be responsible for the stewardship of digital assets including the management of born-digital records and the creation of digital collections from analog documents (such as sound and moving image recordings, photographs and textual materials), as well as processing records in a wide variety of other media. This is a tenure-track position for an archivist with up to three years of post-graduate experience.

Responsibilities:
The Archivist works within a collaborative and team environment. The incumbent will be an enthusiastic and innovative individual who demonstrates leadership in the creation, development, maintenance and support of digital archival holdings. He/she will work closely with the Digital Initiatives Librarian to develop and implement policies and procedures for the capture, storage and long-term accessibility of these holdings. Working with the Web Librarian, the successful candidate will provide leadership in the development, management and maintenance of the departmental web presence. He/she will show leadership in the development and implementation of a communications/outreach plan for the Clara Thomas Archives and Special Collections. Assists the Head with securing grants and other funding to support digital projects. He/she will be regularly involved in the provision of reference and research services as well as in the appraisal, acquisition, arrangement, RAD-based description, and physical processing of private papers and university records. Will participate in instruction of undergraduate and graduate students in the use of archival holdings. The incumbent will be committed to scholarship, professional development and service.

Qualifications:
  • Master’s in archival studies from a graduate programme conforming to the Association of Canadian Archivists’ Guidelines for the Development of a Two-Year Curriculum for a Master’s of Archival Studies, or MLS (or equivalent) with concentration in professional archival education
  • Up to three years of professional archival experience in an established archive, preferably in an academic setting
  • Demonstrated experience in using computer applications for the management of archival holdings and the creation of digital documents for outreach via virtual exhibits, blogs etc.
  • Awareness of funding opportunities and of the grant-writing process
  • Demonstrated experience in the creation of promotional materials for cultural programming (preferably archives)
  • Demonstrated knowledge of media conversion technologies
  • Demonstrated knowledge of the creation and management of electronic records
  • Demonstrated project management skills
  • Excellent oral and written communication and instruction skills
  • Excellent organizational, analytical and interpersonal skills
  • Ability to work independently and in collaboration with others
  • Ability to manage a complex workload in a timely, effective manner with minimum supervision
  • In-depth knowledge of current trends and issues in archives, including RAD and EAD
    Knowledge of French is an asset.
